Position Summary: The Assistant Director of Student Involvement and Development is responsible for supporting the Director in identifying, planning, and directing the Office of Student Involvement and Development (OSID) activities. The Assistant Director is accountable for applying knowledge and understanding of student development theory and student organization policy to support the OSID’s work to provide leadership opportunities, training, and support for student organizations, student leaders, and advisors. The Assistant Director will advise and provide administrative supervision to facilitate program and activity planning and implementation to the Washburn Campus Activities Board, Washburn Student Government Association, and other registered student organizations on campus.

Essential Functions:
Provide oversight of the Student Organization platform, which includes providing technical assistance for student organizations that use the platform. Answer questions and offer recommendations regarding processes and requirements. Will facilitate the registration process for students and organizations with the Office of Student Involvement and Development and assist the organizations with understanding relevant University policies to ensure compliance.

Actively engage in connecting students with campus/community short-term service engagement opportunities. Will coordinate and track the short-term community service opportunities for students and student organizations.

Advise and support students and organization advisors regarding requirements for starting new and renewing student organizations. Maintain annual registration renewal process, enforce student organization policies, and coordinate Student Organization lists and Student organization members in Banner.

As the advisor to the Campus Activities Board (CAB), Washburn Student Government Association, and other registered student organizations on campus, responsible for working closely with these groups and their leadership to strategize, effectively market, and plan the logistics to implement successful, educational or profitable campus events and programming initiatives.

Develop and present creative training programs for student organizations to prepare them to plan, coordinate and implement events in compliance with University policies.

As part of the leadership team for the OSID, work collaboratively with other staff to develop new and innovative programs for the Department to deliver to the University community.

Serve as the primary event manager/administrator responsible for developing, coordinating, and assessing several major campus events, including Homecoming and the Bowtie campus organization fair. As the event manager, the Assistant Director will collaborate with other campus organizations and departments to market and implement the events. Responsible for recruiting and managing volunteers and the logistics for assigned events.

Organize and manage the administrative, logistical, and operational steps necessary to plan, promote and deliver programs such as Family Day, Multicultural graduations, OSID SOAR Awards, SOS, Welcome Week, WU Inspire, and WU’s Who of Washburn.

Use assessment tools to evaluate program effectiveness and create reports to summarize data collected for budgetary and programmatic planning purposes.

Attend events as assigned or as needed to substitute for the student organization’s sponsor.

Responsible for overseeing the effective operations of the office and maintaining confidential information according to FERPA requirements. Perform appropriate administrative functions or delegate responsibilities to deliver excellent customer service to everyone who contacts and interacts with the office. These functions include but are not limited to:
• Review and prepare contracts,
• Manage OSID’s social media accounts and web pages,
• Assist staff with purchasing procedures, reimbursements, payment vouchers, journal entries, requisition, and supporting documents per university procedures. Follow purchasing guidelines to ensure orders are submitted in compliance with the policies and procedures of the University,
• Compile expenditure data, financial reports, and related information to assist appropriate staff with budget planning and management,
• Maintain inventory of office supplies and maintenance of office equipment, and
• Responsible for office key inventory, issuing and collecting keys as appropriate, and billing for keys not returned.

Coordinate with Human Resources the recruitment and hiring process of OSID and CAB student workers. Train, supervise, and assign tasks to student workers to maintain smooth office operations. Provide effective feedback, support, and evaluations for student staff.

Serve as the liaison of the OSID with the University Scheduling office, student organizations, and other university offices of the University.

Perform additional job-related duties as assigned or as appropriate.

Required Qualifications:
• Master’s degree in college student personnel, public administration, higher education administration, or a similar area of study and one year of post-undergraduate experience working with college students or Greek letter organizations in an advisory capacity.
• Or a bachelor’s degree in college student personnel, public administration, higher education administration, or a similar area of study and three years of post-undergraduate experience working with college students or Greek letter organizations in an advisory capacity.
• Proven effective interpersonal, communication, organizational, and time-management skills.
• Proven ability to work effectively as part of a team and independently.
• Demonstrated effective computer skills with the ability to learn new software programs.
• Demonstrated ability or experience presenting to large audiences

Physical Requirements:
Ability to attend evening and weekend activities to support and assist student groups.

Preferred Qualifications:
• Experience in graphic design for marketing and promotional materials.
• Experience in FSL community growth in IFC, Panhellenic, and culturally-based Chapters.
• Experience advising culturally-based fraternity and sorority organizations.
• Knowledge of assessment and strategic planning experience.
• Two to three years of experience working as a professional or in a leadership position with student groups or organizations, campus programming, or Fraternity and Sorority Life.
