The Law Clinic Assistant Administrator works closely with and supports the Law Clinic faculty, the Law Clinic Administrator, and the School of Law faculty.
Essential Functions:
• Compiles information from confidential sources, reviews and assesses the information for the clinic, and prepares certification applications for legal intern practice permits. Ensures they qualify by reviewing their transcripts, completes the applications and submits them to their supervisor for review before submitting them.
• Interviews potential clients on the phone or in-person to complete forms and identify needs as part of the screening/intake procedure for Law Clinic services. Refers to other agencies within the community when appropriate. Not all potential clients speak English fluently, and many are Spanish speakers and translation may be necessary.
• Types, proofreads, and formats correspondence, pleadings, and other documents for Law Clinic interns and faculty.
• Communicates with clients, applicants, students, and others to identify needs and requests, provides information about Law Clinic services, routes calls, relays messages, and directs visitors as appropriate to facilitate communication.
• Updates and maintains the Law Clinic calendar to assist with scheduling.
• Performs the services of a Notary Public as needed.
• Serves as backup and performs the duties of the Law Clinic Administrator, which include recording accepted cases and matters using a case management system. Completes database entry and maintains a calendar of court dates and appointments, using the Clio system.
• E-files court documents per Law Clinic and court procedures.
• Provides administrative support for assigned faculty members, including assisting with course materials, class attendance, online learning platform, and scholarship.
• Provides faculty committee recruitment support, including assistance with searching the AALS Faculty Appointments Register Forms to locate prospective applicants for hiring needs.
• Is the primary administrator for law school exams, including managing the online test-taking program and coordinating exam logistics.
• Provides support to Washburn Law Journal, including responding to invoices and managing subscriptions.
• Serves as the Law Clinic contact person for maintenance and service support, manages paper supplies, and places supply orders as needed.
• Performs additional job-related duties as assigned or as appropriate.
Required Qualifications:
• Completion of a paralegal program or four years of full-time work experience in a legal office setting.
• Demonstrated effective interpersonal, communication, organizational, and attention to detail skills.
• Ability to work effectively independently and as part of a team, make decisions using sound judgment, and maintain confidentiality.
• Proven ability to work efficiently with staff, faculty, administrators, students, or community members.
• Able to use Word, Adobe, Excel, Outlook, and case management software.
• Notary public in Kansas or must apply to become a notary public in Kansas within 30 days from the date of hire.
Physical Requirements:
• Ability to lift up to 20 lbs.
Preferred Qualifications:
• Bilingual: Fluent in Spanish.
